We are excited to announce an important update at PTI Nebraska regarding how we handle incoming calls and emails from parents, self-advocates, and professionals. This change is designed to improve efficiency, ensure accountability, and provide timely responses for everyone.
What’s Changing?
Previously, individuals would call staff members directly through personal extensions and email addresses. Starting on January 2nd, 2025, all calls will be directed to one central phone line, where they will be handled by our admin team. Similarly, all incoming emails will be routed to our admin team for processing. This change will allow us to better manage all requests more effectively, ensuring no inquiries are missed, and that everyone is served in a timely manner.
How Does the New Process Work?
- Intake Form: To get started, individuals (whether parents, self-advocates, or professionals) will need to complete an Intake Form. This form helps us gather all the necessary information required by our grant funding to assist you.You can complete the intake form in two ways:
- Online: The quickest option! You can complete the form via this link.
- Over the Phone: If preferred, we can call you back and help you complete the form over the phone.
- Emails: All incoming emails will be directed to our admin team. Once received, the emails will be handled in the same way as phone calls, with the team ensuring that each request is reviewed and handled promptly. The admin team will then guide the individual through the process—either by completing the Intake Form online or scheduling a call to fill it out over the phone if needed.
- Scheduling a Call: After the Intake Form is submitted, a call will be scheduled between the individual and a staff member. Individuals can select a time that works best for them through our individual staff bookings pages. This new system ensures:
- Individuals can pick a time that fits their schedule
- Staff can manage their schedules more effectively, ensuring that everyone receives the attention they need without overloading any one team member
Why Are We Making These Changes?
- Fair and Timely Processing: All requests—whether via phone or email—will be processed in the order they are received. This ensures that no one is overlooked and that all inquiries are handled in a timely manner.
- Accountability: By centralizing all requests, we ensure that each inquiry is reviewed thoroughly and responded to within a reasonable timeframe.
- Improved Communication: This system will streamline our communication, making it more efficient, while also helping to manage staff workloads more effectively.
We believe this new process will enhance the experience for everyone involved. By centralizing both calls and emails, we can provide more consistent service, prevent any contacts from slipping through the cracks, and ensure that people receive the attention they deserve.
